JOB SUMMARY
The purpose of this position is to provide administration services for the recruitment and employment of staff, training and development, timekeeping, provide site staff/managers with advice and assistance with all HR related matters.
KEY RESPONSIBILITIES
Payroll Processing

  • Processing of Wages and salaries
  • Ensures that data is captured and updated in respect of employees such as overtime, deductions
  • Manually calculates final salary and benefit payments, including retrenchment payments when applicable, for employees separating from the company
  • Capture allowances and any other transactional data
  • Calculates the appropriate deductions for tax, pension, medical aid contributions etc
  • Follows month end procedure including checking the payroll run, dealing with computer generated queries from the payroll
  • Generates payroll run as per schedule, at month end, to ensure salaries are paid on time
  • Prints payslips and payslip analysis and distributes to them to various sites payroll reports such as costing, deduction, capital balance for reconciliation and balancing purposes
  • Finalises month end payroll procedure (sign off) which authorises roll over to next month
  • Responsible for data backup process
  • Reconciles IRP5 certificate total to total PAYE paid. Compiles data file for testing purposes, processes corrections as required, and submits final data file to SARS. Prints and distributes IRP5 certificates
  • Ensuring correct completion of all leave documentation, including but not limited to sick, unpaid and annual leave
  • Validation of sick notes per the company’s policy
  • Weekly processing of attendance registers, employee leave, movement of staff, overtime
  • Liaising with 3rd parties, as required, and managing associated payments and reconciliations (e.g. SARS, Provident Fund)
  • Timeous completion and submission of all statutory returns, including but not limited to employment equity, EMP 201, EMP 501 and IRP5
  • All other processing as required by any changes in legislation and/or in updates on the payroll system

Administration

  • Monitors and controls the flow of documentation through the Payroll department in respect of personnel records etc
  • Gather data and produce reports from payroll system for Management information reports
  • Assist HR Manager with Salary Survey information
  • Prepare reports for the admin finance team for invoicing
  • Reconciling payroll input to financial reports on Sage Pastel system and variance report
  • Prepare reports for deductions by compiling summaries of earning and deductions
  • Solve problems and queries relating to payroll issues with both employees and finance staff
  • Filing of documentation
  • Verify that the employees are all paid before running the bank-file
  • Administer Provident Fund
  • Administer Medical Aid
  • Administer Car wash
  • Administer Death Claims
QUALIFICATIONS AND EXPERIENCE / MINIMUM REQUIREMENTS
  • Diploma in Payroll administration, bookkeeper
  • Sage Pastel
  • VIP Premier Experience (Full Function) – 3 to 5 years.
  • Advanced Excel Experience (including Formulas)
  • Basic Conditions of Employment and Sectoral Determination 6.
  • Knowledge of Health and Safety procedures.
  • Knowledge of relevant company policies, processes, and procedures.
  • Experience with WTP, Water Retaining Pump stations, Reservoirs and Pipeline.
  • Valid drivers’ licence
