JOB SUMMARY
The purpose of this position is to provide administration services for the recruitment and employment of staff, training and development, timekeeping, provide site staff/managers with advice and assistance with all HR related matters.
KEY RESPONSIBILITIES
    Recruitment
  • Arrange and confirm interviews with all shortlisted candidates
  • Manage the CV database
  • Regret letters/mails administration
  • Compile interview packs
  • HR Systems Management

  • Accuracy and maintenance of the information within the system
  • Co-ordination of all transformation, training and Industrial relations activities
  • Systems Administration
  • Provides reports from system
  • Administration and Record keeping

  • Ensuring legal compliance of all administration and record keeping processes
  • Ensuring that all employees have personnel and training files, auditing and updating of personnel records and systems
  • Ensuring formal written communication of all personnel management issues
  • Wages timekeeping processing and management
  • Monthly stats update
  • Exit Management

  • Necessary checklist is completed
  • Relevant termination/withdrawal documents to be completed by individual to be submitted to payroll once complete
  • Exit interview to be scheduled and conducted with final sign off by line manger
  • Settlement agreement to be put together if there are monies outstanding or owing to the company or employee
  • Training and Development

  • Arranging quotes and bookings with the relevant service providers, confirmation with the employees regarding the training courses to attend
  • Collation of actual training interventions per division and employee, Updating and capturing of all training spend for the month on consolidated spreadsheet.
  • Consolidating the yearly ATR for preparation of WSP
  • Contract and Benefits Management

  • Relevant contract drawn up as per legal compliance
  • Customise relevant Job Profile
  • Compiling the relevant Engagement packs, together with the checklist and ensuring all completed documentation is forwarded to Payroll for monthly processing by the stipulated deadline dates
  • Query management
  • Contract Period and extension management
  • Co-ordinate all Change of Status processes with both salaries and wages monthly.
  • Continuous monitoring and auditing of all contracts to ensure legal compliance.
  • Management of Long service award
QUALIFICATIONS AND EXPERIENCE / MINIMUM REQUIREMENTS
  • National Diploma in Human Resource Management/BA/BCom in Industrial Psychology
  • Minimum 2 years HR experience
  • MS Office suite
  • Administratively strong
  • Understanding of payroll
  • Professionally Registered with relevant professional bodies
  • Knowledge of Health and Safety procedures.
  • Knowledge of relevant company policies, processes, and procedures.
  • Experience with WTP, Water Retaining Pump stations, Reservoirs and Pipeline.
  • Valid drivers’ licence
